2Data we collect
Information you give us
When you contact us through our contact form or by email, we collect the details you choose to provide. This typically includes:
- Your name and job title
- Your company or organisation
- Your email address and phone number
- The content of your message, including details of your fleet or enquiry
Information collected automatically
When you visit the Website, basic technical information is processed so the page can be delivered to you. This may include your IP address, browser type, device type, pages viewed and the date and time of your visit. This information is processed by our hosting provider and by the providers of resources the Website loads, such as web fonts.
We do not use the Website to collect special category data, and we ask that you do not send us any.
3How we use your data
We use personal data to:
- Respond to your enquiry and communicate with you about it
- Discuss potential partnerships, pilots or commercial arrangements with you or your organisation
- Send you information you have asked for
- Operate, secure and improve the Website
- Comply with our legal and regulatory obligations
We do not sell your personal data, and we do not use it for automated decision making that has legal or similarly significant effects on you.
4Lawful basis for processing
| Purpose | Lawful basis |
|---|---|
| Responding to enquiries | Legitimate interests in responding to people who contact us, or steps taken at your request before entering into a contract |
| Business discussions and partnerships | Legitimate interests in developing our business, or performance of a contract |
| Marketing emails | Your consent, or legitimate interests for business contacts where the law allows. You can opt out at any time |
| Website operation and security | Legitimate interests in running a secure, working website |
| Legal compliance | Compliance with a legal obligation |
Where we rely on legitimate interests, we have considered your rights and expectations and are satisfied that our interests do not override them. You can ask us for more detail on this assessment.
6International transfers
Some of our service providers are based outside the UK and European Economic Area, including in the United States. Where personal data is transferred internationally, we make sure it is protected by an appropriate safeguard, such as a UK adequacy regulation, the UK International Data Transfer Agreement or Addendum, or the EU Standard Contractual Clauses.
7How long we keep your data
We keep personal data only for as long as we need it for the purposes described above. As a guide:
- Enquiries that do not lead to an ongoing relationship are kept for up to 24 months from our last contact
- Records relating to a contract or commercial relationship are kept for up to 6 years after it ends, to meet legal and accounting requirements
- Marketing preferences are kept until you opt out, after which we keep a suppression record so we do not contact you again
After these periods, data is securely deleted or anonymised.
8Security
We use appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access. These include access controls, encryption in transit and limiting access to people who need it. No method of transmission over the internet is completely secure, but we work to protect your data and will notify you and the regulator of a breach where the law requires us to.
9Your rights
Under data protection law you have the right to:
- Access the personal data we hold about you
- Rectification of data that is inaccurate or incomplete
- Erasure of your data in certain circumstances
- Restrict how we use your data in certain circumstances
- Object to processing based on legitimate interests, and to direct marketing at any time
- Data portability, to receive your data in a portable format in certain circumstances
- Withdraw consent at any time, where we rely on consent
To exercise any of these rights, email sneha@viewporthalo.com. We will respond within one month. There is normally no charge. We may need to confirm your identity before acting on a request.
11Children
The Website and our services are intended for businesses and are not directed at children. We do not knowingly collect personal data from anyone under 16.
12Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated shown at the top.
13Contact and complaints
If you have any questions about this policy or how we handle your personal data, contact us at sneha@viewporthalo.com.
If you are unhappy with how we have handled your data, you have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113. If you are in the EU, you can complain to the data protection authority in your country. We would appreciate the chance to resolve your concern first, so please contact us before going to the regulator.
